ATAPY Software helped a large retail company automate data entry

In 2012 ATAPY Software completed a project of introducing ABBYY FlexiCapture at NOVEX, a major Russian retail chain for household goods. This installation enabled NOVEX to streamline issuance of customer bonus cards by automating data entry from application forms.

Карта_НовэксNOVEX pursues active marketing policy and employs many promotional and sales strategies: an internet shop with free delivery, gift certificates, bonus cards, discounts in retail stores, and other venues. As clients’ feedback is an important factor for the development of company’s strategies, customers are offered to fill out questionnaires in exchange for bonus cards.

The question was, what would be the best way to capture the data from many forms coming from all the stores of the chain? Upon considering different options, ,NOVEX decided to employ the benefits of modern data entry technologies and contacted ATAPY Software an experienced specialist in Electronic Document Management Solutions and a long-term partner of ABBYY Software House, world leader in the field of data capture.


ATAPY engineers analyzed client’s demands and concluded that the best technology for addressing them would be ABBYY FlexiCapture. Once NOVEX agreed with the idea, ATAPY set out to complete the following tasks:

  • together with NOVEX, modified the questionnaire to improve machine-readability;
  • “taught” FlexiCapture to capture the data from this particular form;
  • integrated FlexiCapture with the existing customer-relations system and the general IT infrastructure of Novex.

The development and integration took about 30 days. Upon completion, ATAPY Software specialists conducted staff training at NOVEX.

From that point on, NOVEX personnel no longer needed to type in the data from forms. Instead, they scanned them in batches and checked the accuracy of data recognition through a user-friendly interface, correcting mistakes when required. Recognition errors are typically caused by writing values into wrong fields and by sloppy handwriting.

According to the statistics produced by NOVEX, capture efficiency doubled in comparison to manual input. Manually, one operator typed in between 325 and 350 forms a day. With ABBYY FlexiCapture average speed went up to 650 forms a day.

NOVEX store chain is one of the biggest retail and wholesale vendors in Siberia specializing in cosmetics, perfume, household chemical goods and housekeeping equipment. The retail chain includes 130 stores in the regions of Novosibirsk, Tomsk, Kemerovo and Altay. As of 2012, the company also operates an internet shop with free delivery service. Company’s business process automation is based on the ERP system from the leading provider of enterprise management software – SAP.
